[Insurance Billing (US)](https://support.pabau.com/en/pabau2/insurance-billing?hsLang=en#insurance-billing-us) # How to add default billing codes to a client's insurance policy Some plans authorize a client for specific codes, for example massage therapy billed as CPT 97124, 4 units per visit, for one diagnosis. Add those codes to the client’s policy as default billing codes, and every new invoice you charge to that policy is coded for you from the policy, so the claim arrives with the right code, units, diagnosis and modifiers. **NOTE:** Insurance billing is currently available for practices in the United States. Claims are submitted electronically through the Claim.MD clearinghouse. **Step 1: Open the Client’s Policy** Open the client’s card. Then: 1. Select the **Insurance** tab. 2. Click the policy’s member number. 3. In **Add billing code**, type the code or part of its description. 2. Choose the number of **Units** the plan authorizes per visit. 2. Under **Diagnoses**, search for the diagnosis code and select it. Add more than one if the plan lists several. 3. To take a code off, click **Remove**. When you are done, click **Save**. **Step 4: Check the Codes on the Invoice** When you next raise an invoice and charge it to this insurer, Pabau codes each line from the policy. To check, open the invoice from the client’s **Financials** tab, select **Items** and look at **Billing & diagnosis codes** (“Codes default from the selected policy. Changes apply to this invoice only.”): 1. The **Billing code** from the policy. 2. The units, with the line total. 3. You can still change them on the invoice or on the claim. **How Pabau Picks the Codes** - Pabau uses the policy linked to the visit’s case. Without a case, it uses the client’s newest policy with that insurer. - If the policy lists the service’s own code, that entry is used for that service. - If the policy lists just one code, that code is used for every insured service on the invoice. - If the policy lists several codes and none of them is the service’s code, check the line in **Billing & diagnosis codes** before you send the claim. - Units on the policy come first. If an entry has no units, the service’s default units are used. - A diagnosis on the policy comes before the service’s default diagnosis. **NOTE:** Pabau applies the policy’s codes when you raise a new invoice. Invoices you raised before you added the codes keep their own coding. Open them, select **Items** and check **Billing & diagnosis codes**. **TIP:** Set your usual codes and units on the service, and use policy codes only for clients whose plan authorizes something different.
