# How to Upload a Document (New Client Card)

## This article covers how to upload documents into a client card.

Keep referral letters, scans, test results and other files on the client's record by uploading them to the **Documents** section of the client card. Each file uploads the moment you add it, and Pabau files it under one of the client's appointments, so it stays with the records from that visit.

**Step 1: Open the Client Card**

Go to **Clients**, search for the client and click their name to open their client card.

**Step 2: Open the Documents Section**

1. Click **EMR** in the menu at the top of the client card (labelled **Chart** for US clinics). This opens the clinical overview.
2. Click the **Documents** card.

**Step 3: Open the Upload Window**

1. Click **Create** at the top right of the Documents section.
2. Choose **File upload**. The **Upload documents** window opens.

**Step 4: Check the Appointment and Add Your Files**

1. Check the appointment at the top right of the window. If the client has an appointment today, your files are linked to it automatically and the label reads **Appointment · auto-linked**. If there is no appointment today, the label reads **Select Appointment** and the files aren't linked to a visit unless you choose one.
2. Drag your files onto **Click to browse, or drag & drop files here**, or click the box to choose files from your computer. Images and document files are accepted, and you can add several at once.

To link the files to a different appointment, click the appointment *before* you add them. In the **Select Appointment** window, choose any of the client's appointments, or choose **No appointment** to upload the files without linking them to a visit.

**TIP:** A document linked to an appointment is listed with the other records from that visit, under the treatment note written for that appointment.

**Step 5: Let the Files Upload**

There is no separate Upload button. Each file starts uploading as soon as you add it:

- The bottom of the window counts the files you've added, for example **2 files added**.
- A tray at the bottom right of the screen shows each file's progress, with **Done** next to each one when it has finished.

Click **Close** when you've added everything. Files that are still uploading carry on in the tray. The new files appear in the Documents list, inside the folder you had open.

**Drag Files Straight Onto the Documents Section**

You don't have to open the upload window. Drag files from your computer anywhere onto the Documents section: it shows **Drop files to upload** (or **Drop files to upload to “*folder name*”** when you have a folder open), with the appointment the files will be linked to. Let go to start uploading.

**NOTE:** Dropped files use the same appointment as the upload window. To change it, click **Create** → **File upload**, pick the appointment and add your files there.
