The options are grouped into **Contact** (Family member, Emergency contact, Next of Kin) and **Third party** (Specialist, GP, Pharmacy, Company). The steps vary depending on your selection. #### ![Managing relationships 5](https://support.pabau.com/hs-fs/hubfs/Clients%20category/Managing%20relationships%205.png?width=320&height=367&name=Managing%20relationships%205.png) **Family Member** Search for an existing client by name or email, or click **"Add a new client"** to create one on the spot. Then select the relation, such as father, mother, sister, brother, wife, or husband (click **"Load more"** for additional options). #### ![Managing relationships 6](https://support.pabau.com/hs-fs/hubfs/Clients%20category/Managing%20relationships%206.png?width=575&height=358&name=Managing%20relationships%206.png) Next, you can configure a few additional settings. Under **Billing & Correspondence**, mark the contact as the **payor** if they’ll be responsible for the client’s self-pay invoices and receipts, or as the **recipient** if they should receive letters or other correspondence on the client’s behalf — an email or postal address is required for either option. Under **Privacy**, you can turn on **Restrict Sharing** so the contact has no access to the client’s record, or grant **Portal Access** so they can log in via Pabau Connect and view the client’s information (this requires an email address). Once everything is set, click **"Add relationship"** to save. **Emergency Contact and Next of Kin** Search for an existing contact by name or email, or choose **"Add new client"** to create a full client record, or **"Add as contact"** to save them with just a name, email, and mobile number. #### ![Managing relationships 7](https://support.pabau.com/hs-fs/hubfs/Clients%20category/Managing%20relationships%207.png?width=360&height=248&name=Managing%20relationships%207.png) **Specialist** Search by name, specialty, treatment, or condition, and filter by location if needed. You can also browse popular specialties or popular conditions and procedures. Once you’ve found the right match, click **"Add"** to link them to the client. If they aren’t in the directory yet, click **"Add specialist"** to add them manually. #### ![Managing relationships 8](https://support.pabau.com/hs-fs/hubfs/Clients%20category/Managing%20relationships%208.png?width=571&height=365&name=Managing%20relationships%208.png) **GP** Choose between the **Pabau Network** and your **Clinic GPs**, then search by postcode or name. Select the correct practice from the results and save your selection — you’ll then be asked to choose the GP the client sees at that practice (you can skip this). Select the correct pharmacy from the results to add it. If it isn’t listed, you can add one manually. The Pabau Network directory is only available in supported countries — if it isn’t supported in your country, that option is greyed out and you can use **My pharmacies** instead. #### ![Managing relationships 10](https://support.pabau.com/hs-fs/hubfs/Clients%20category/Managing%20relationships%2010.png?width=571&height=334&name=Managing%20relationships%2010.png) **Company** Search by name or postcode, then select the correct company. If it isn’t listed, you can add one manually. #### ![Managing relationships 11](https://support.pabau.com/hs-fs/hubfs/Clients%20category/Managing%20relationships%2011.png?width=571&height=333&name=Managing%20relationships%2011.png) Once you’ve added the contact or organisation, the relationship is saved to the client’s profile under the Relationships tab. #### **What Do Surgery Name and Name Mean When Adding a GP?** When you add a GP manually, **Surgery Name** is the name of the practice (for example the medical centre), and **Name** is the name saved for the directory entry itself — usually the GP. **Name** is required; **Surgery Name** is optional and only appears for GPs and specialists. #### **Why Can't I Edit a Linked GP, Pharmacy or Company?** You can only edit directory records that belong to your clinic — ones you added yourself or that sit on your clinic's own list (**Clinic GPs** or **My pharmacies**). Records from the shared **Pabau Network** directory are maintained centrally, so instead of **Edit** you see **Suggest an edit**: fill in the correction and save, and it is sent to Pabau support to update. **NOTE:** If a family member or contact link shows "This relationship cannot be changed here", it was created from the other client's card — open that client's profile to edit it. #### **How do I set up a child whose parent should receive all communication?** Create the child as the client — they are the patient, so appointments, forms and notes belong on their card. Then link the parent to the child as a relationship rather than creating a separate lead: 1. Open the **child's** client card and go to **Relationships → Add relationship → Family member**. 2. Search for the parent, or click **Add a new client** to create them, and choose the relation (for example, mother or father). 3. Under **Billing & Correspondence**, select **Recipient**. Select **Payor** too if the parent pays the invoices. 4. Click **Add relationship**. Once the parent is the recipient, appointment confirmations, reminders and other appointment notifications by email and SMS go to the parent's email address and mobile number instead of the child's. Emails you write from the child's card are addressed to the parent too. **IMPORTANT:** Set the recipient from the child's card. If the parent has no mobile number, SMS messages for the child are not sent at all — they do not fall back to the child.
