Getting started with insurance billing (UK)
Pabau's insurance billing turns an insured visit into a clean electronic claim: you book the appointment against the insurer, Pabau raises the invoice to them, validates the claim, and submits it through Healthcode — the UK's medical bill clearing service. You can then track every claim from one dashboard until the remittance arrives.
This guide is for practices in the United Kingdom. Claims are submitted electronically through the Healthcode clearing service, with additional tools for BUPA membership checks and insurer remittances.
What you can do
- Bill insurers directly — raise invoices to BUPA, AXA Health, WPA, Vitality, Aviva and any other third party, at contract rates from per-insurer price lists.
- Submit claims electronically — validate and send invoices to insurers through Healthcode without leaving Pabau.
- Verify BUPA memberships — check a patient's BUPA policy status in seconds from the client card or the claim screen (see How to verify a Bupa membership).
- Track everything — a claims dashboard with live Healthcode statuses, plus remittances to record insurer payments and shortfalls.
Set up in four steps
- Part 1 — Set up the insurance essentials. Turn on insurance billing, create your insurers, connect your Healthcode account, and add billing codes and price lists.
- Part 2 — Client insurance setup. Link each insured client to their insurer, record their membership number and policy details, and set the default payer.
- Part 3 — Connect appointments to insurance. Book the visit charged to the insurer so the invoice is raised to them automatically.
- Part 4 — Submit and track claims. Validate the claim, send it to Healthcode, and follow it to payment.

Frequently asked questions
Do I need a Healthcode account?
Yes — Healthcode operates the clearing service that delivers electronic claims to UK insurers. Registration is free to start and takes a few days; see Part 1 for the steps. Pabau itself charges nothing extra (see Insurance pricing).
Which insurers can I bill?
Any insurer on the Healthcode network — including BUPA, AXA Health, WPA, Vitality, Aviva, Healix, Cigna and more. Insurers that aren't on Healthcode can still be invoiced as third parties and paid via remittances.
Do patients ever pay part of the bill?
Yes — excesses and shortfalls happen. When you record the insurer's remittance, Pabau can reissue the unpaid balance to the patient automatically (see recording insurer payments).
Can clients book with insurance online?
Yes — the online booking portal can offer "Pay with Insurance" for eligible services; see this guide.
