Calendar Permissions

Calendar permissions control what a staff member can see and do on the Calendar - from viewing it to booking, editing, cancelling, and rescheduling appointments and blockouts.

 

Why do you need calendar permissions?

You may want your front-of-house team to book and amend appointments, but only your clinic manager to edit calendar settings.

Or you might want your clinic manager to have oversight of every staff calendar, while your staff only see their own. 

Step 1: Navigate to Roles

Log in to your Pabau account, and in the left sidebar menu, click on "Team" to expand it, then click on "Team" again from the submenu. 

This opens the Team page, showing four tabs: People, Roles, Teams, and Visibility. Click on the "Roles" tab.

Step 2: Open the Calendar Category 

Find "Calendar" in the Feature Name column and click the arrow beside it to expand the category. This reveals its individual permissions, listed as separate rows underneath. 

Each checkbox in the table turns that permission on or off for that role. Ticking the "Calendar" row enables all of its permissions at once, while ticking an individual row only affects that one.

NOTE: The "Owner" role's checkboxes appear greyed out, since the Owner role always has full access and can't be restricted. 

 Step 3: Understand What Each Permission Does

  • Can access calendar page – Allows the staff member to open the Calendar at all. If disabled, they won't be able to view the Calendar page in the first place.
  • Can book appointments – Allows the staff member to create new appointments on the Calendar.
  • Can create blockouts – Allows the staff member to add blockout slots (e.g. breaks, holidays, or unavailable time) to the Calendar.
  • Can edit appointment details – Allows the staff member to change the details of an existing appointment, such as the service, staff member, or notes.
  • Can cancel appointments – Allows the staff member to cancel an existing appointment.
  • Can reschedule appointments – Allows the staff member to move an appointment to a different date or time.
  • Can edit blockout slots – Allows the staff member to change the details of an existing blockout.
  • Can cancel blockout slots – Allows the staff member to remove an existing blockout.
  • Can edit calendar settings – Allows the staff member to access and change the Calendar's configuration settings.
  • Can reschedule blockouts – Allows the staff member to move a blockout to a different date or time.
  • Can view everybody's calendar – Allows the staff member to see all staff members' calendars, rather than only their own.

If any of these are disabled, the staff member simply won't be able to perform that specific action on the Calendar.

 A few things to be aware of:

  • Permissions apply to the role, not the individual — so if you set a permission for the Receptionist role, every staff member with that role gets the same access.
  • If you don't see the right role for what you're setting up, you can create a new one and set its permissions from scratch.
