Activities Permissions

Activities permissions control what a staff member can do with activities in Pabau - from viewing and creating them, to editing, deleting, and viewing activities logged by other staff members.

Step 1: Navigate to Team

Log in to your Pabau account, and in the left sidebar menu, click on "Team" to expand it, then click on "Team" again from the submenu.

This opens the Team page, showing four tabs: People, Roles, Teams, and Visibility. Click on the "Roles" tab.

Step 2: Open the Activities Permissions

You can reach the Activities permissions from either the Roles tab or the People tab, depending on whether you're setting them for a role or for one person.

For a whole role:

Click on the "Roles" tab. You'll see a Features table listing every permission category down the left side, with each of your roles shown as its own column. Find "Activities" in the Feature Name column and click the arrow beside it to expand the category. This reveals its individual permissions, listed as separate rows underneath. Each checkbox turns that permission on or off for that role - ticking the "Activities" row enables all of its permissions at once, while ticking an individual row only affects that one.

For a single staff member: Click on the "People" tab, select the staff member you want to edit, then open the "Permissions" tab. Find "Activities" and expand it to see the same set of permissions, this time applying to that person alone.

Step 3: Understand What Each Permission Does
  • Can access activities page – Allows the staff member to open the Activities page.
  • Can create an activity – Allows the staff member to log a new activity.
  • Can edit an activity – Allows the staff member to update an existing activity.
  • Can delete an activity – Allows the staff member to delete an activity.
  • Can view others' activities – Allows the staff member to see activities logged by other staff members, not just their own.
  • Can edit boards created by another user – Allows the staff member to rename, re-colour and change the settings of Activities boards owned by other staff members.
  • Can delete boards created by another user – Allows the staff member to delete Activities boards owned by other staff members.

If any of these are disabled, the staff member simply won't be able to perform that specific action.

These two are worth reading carefully, because they extend access rather than granting it:

  • A staff member’s own boards are unaffected by both. Whoever created a board can always rename it, change it and delete it. Neither permission is needed for that, and switching them off never takes it away.
  • Both are off for every existing role. They arrive switched off across the board, so nothing changes for anyone until you deliberately turn one on.
  • They only reach boards at your own clinic. Neither grants any access to another clinic’s boards.
  • Editing a board includes its members. A staff member with Can edit boards created by another user can also change who is invited to somebody else’s board, since membership is part of a board’s settings.

IMPORTANT: Can delete boards created by another user is the most far-reaching of the two. Deleting a board asks where its activities should go, so no activity is lost — but the board itself, its groups and its arrangement are gone for everyone who was using it. Give it to managers rather than to a whole team.

NOTE: Permissions decide what someone is allowed to do. What they can see also depends on each board’s own privacy setting - a Private board belonging to a colleague does not appear for them at all. See Activities Board Privacy, Members and Sharing.
